Do you have to organize a special visit? There are many details to take into account that should be asked to avoid any loose end and give an appropriate welcome:
- When they will arrive, day, hour, airport …
- Where they will go.
- Who will pick you up and take them to/from the airport/hotel/meeting.
- How long they will be.
- How many people will come, names, positions.
- They will come alone or accompanied by their partners.
- If they came accompanied, ask for the accompaniment program and who will go with them.
- Ask if anyone has reduced mobility.
- Prepare a local map; propose restaurants, cultural visits, performances, specialised shops, taxi service.
- Provide the list of attendees and program of meetings to the people who must attend them during their stay.
- Gift for the visit.
- Prepare the meeting room, air conditioning, water, catering, if it is necessary a floral ornament to decorate the table.
- Have business cards handy to the people are going to meet.
- Documentation and support material: overhead projector, laptop, paper pad, pens, pencils.
- Provide Wi-Fi to the guests.
- Offer our help and be aware of the visit if they need us.
